all right so hopefully we're recording now and welcome everybody to today's Tennessee Viva visual impairment Virtual Academy professional development opportunities we are so excited for today session which is titled real transcription tips and tricks for TGI's I've been talking to her two presenters a cocoon and Casey Sloan and they have so many resources to share you guys and so I'm just looking through a corporate distance are we have some you know Season pdi's we've got some students in your wherever you are in your career at PBI I think you're you're going to take away some resources and yogurt and you learning about you and your work with some kids who are blind and visually impaired and so before we hand this off to both of them I do want to just you provide an overview again this is a Tennessee Viva session but one pair of Virtual Academy which we provide about twice a month virtual PD options for really anyone who can get hold this but primarily we would Utah our Tennessee Vision professionals to learn more about the upcoming sessions that we have I'm going to put a link in here to the Vanderbilt Kennedy Center which is one of our partners and putting on Bebo the other partner the Vanderbilt University visual disabilities program of course us here at the Tennessee School for the Blind and I'm also going to link to the video page at the resource center for the visually impaired which contains many recorded videos from past Viva sessions and so the session is being recorded and in short order after today I will have it posted to that page as well don't think it was anything else that I am missing I'm going to re-enter a wink here you'll see it says redcap. Vanderbilt this is a link you can use at the participant to provide feedback about today session as well as request credits however you might need those and we will get get a certificate them to you after a session but without further Ado again I'm so pleased I'm your host dr. Allen at the resource center really pleased to see everybody here and let me start again without further ado I'm just a present Becky Kuhn who is the Resource Centers in house transcriptionist and kacy's phone who is a very experienced guy with the Sumner County school and has been in a few different setting well beyond that so is so much experience and knowledge and many resources that are going to share with us today I can't wait so I need to just get my lips and let them take it away so go ahead thanks guys thank you Alan so we are so happy to get to do this with you guys today and hope some of the things that we share will be helpful in your practice all right so don't start using until we listen some of the things that are here are some of them are free you some of them is a feed Duxbury translation software is probably the most powerful word processing software you can do a lot of things with it now the next turn Master is free and it is also it's built off of another very powerful translation program called real 2004 you can find it on the website and download to your computer and it get does it do screen so you can be looking at one side and I can weigh in print and the other screen will show you it's translation to Braille so you can tell until he made a typing error because your contractions are incorrect and is is great in that way it has all of the same transcriber materials that are necessarily tables and them construct a table of contents in word searches and everything that's in ducks real plaster is also a free app where you get it from Duxbury download it from their website which is Duxbury systems, and turkey. just let you write in in in Braille you can't write in print and then translate it over to the Braille you have to be able to know you and you use it Like a G6 key entry Amazon reader is is a conversion software that will open PDF and you can say that PDF as a Word document you can say that if you have any pictures or jpg there are several I don't even use because I usually take them to PDF and translate it to a Word document when this and then you know you can do it with all sorts of things would get that way when she's made a PDF court documents I think everybody play stylus it's really a year backwards bike style so you're writing to the right to the left to all of your all your bro characters have to be reversed in order to use that on your piece of paper and and you have maybe four Road with the salad depending on how wide your flight is the silences little pointy thing that you used to press all the dots in it is quite slow I use it occasionally to make Corrections if I get my pay into the barrel lighter I'll make the correction with it because I'm the doctor more consistent in five it's a Perkins brailler all right and before we're going to talk mostly about Duxbury today and Becky has some amazing things to share with you she is a master at using this program however I wanted to chat first how many of you are already using that's very unlike how much experience do you have with it than anybody has a lot of experience using like a shortcut or anything like that I want a man to Thompson Jennifer good reminders and that we should have any more and more awesome I made a few more coming through come in if I can backtrack you guys Becky and Casey will you just give a brief overview of the work that you're doing today and maybe some background and other experiences may be prior to where you are currently the way I kind of understand where where you are how you got this today where you do you feel like you got a good set of you got a good set of you know skills and terms of transcribing work or you simply attitude has to work that you know teachers or whoever asks you to take care of it do you want to start so I am I have worked at this my 15th year as a tvi and I have worked with students to use braille all fifteen years so I've been lucky with you being residential setting where I had here tsp or I have like a classroom of students I think at one time I had four students using Braille three large print at that time but now I'm currently and I teacher in Sumner County schools and I have worked with a student there for almost 10 years now and so I work with her at work with a student that is a loser every year well I'm I date way then I started it to USD in 1974 so I have had repeats two years and with kindergarten with another teacher and then I moved into our special ed classes that was with a student who probably did not get a diploma when they finish the TSB and Danny Pekin High School and remedial math so I've been using for all of those years in classroom and one thing that got me into and I got into that because when I needed a new Biology book it was a way I could I checked on a textbook I was currently using maybe to just buy more more but it was really kind of out of date and I needed 10 Braille version a an electronic version of it true that the resource center it cost $25 that was really great that the book that I've been I've been using previously was going to take out and see if she'll stay in I got this and I started describing it as I used it I wore out and Everest version 30 there still around there a braille I'm not grabbing five sheets I ran off the extra copies I need to put them in the oven so I actually set up the brow production Center that's where it the superintendent of schools had me start it next because I had this transcription experience I guess and we started building here at tsp campus and then eventually go Consolidated together with the resource center in another building 4cs be at least 7 years here on campus and then I retired and I've been transcribing my own I have my own business, all about Braille transcription service and I've been doing books for the resource center then and then the person who had taken my place in the resource decided to retire suddenly and so I'm working here part-time set alarm I used to do things and for Doctor hadn't when she's at Vanderbilt and so she called me to Queen Graphics maybe some to stop you know for call Bart and he's I think I think the takeaway for you guys hopefully is that you do have some confidence and what you're going to hear today because between Casey and Becky probably got a good answer or some Direct dance with a teacher or situation presented your present to them saying I have this worksheet or material or whatever and I need it for my reading I think I thought you were in the picture to help you know about the poor and so they've got some tips and tricks out for you to walk walk you guys through how to make the most of some of these resources so you can be more effective than that work so I'll leave you to get back to Duxbury he's a shortcut for thank you so much for that you no background on yourself always cool to hear a little history and all that thank you Alan Sohail Duxbury your level of experience with it as I said earlier Duxbury is a very powerful word processing program it has everything in there that use words and and I use all the keystrokes I don't usually use the drop-down menus when using word and basically all I use word for is to get my material into a format that Duxbury will open I spend a lot of time I did when I first started transcription using trying to set everything up and do all of the formatting and get the commands in there putting everything by hand Title by hands and everything because I wasn't that familiar with Duxbury yet so there was a program before that that's pre-owned them is called Megan and it did things differently so I had to switch to Duxbury so what you take whatever text you have or if math or whatever and get it into into word save it as a Word document then open it in Duxbury people have some other things or other features that work along with word like Swift I don't like to spend a lot of time using switch to putting all of the codes and if it fits which because once it gets in the dark they don't all work and you spent all of that whereas if you just put the text right into Ducks parade you can put in all of the commands that you need and it is then when it goes to your boss or at least according to what you told it to do so I do spend I feel like I said I'm spinning my wheels when I'm using word PDF if I have a PDF on trying to get something I can open up a PDF open up that story and I use I do screen and I will eat before I had the software I would copy and paste it into the sections like page by Page and paste those PDF back into Duxbury now I got a lot of material side of TSB that is fly like slide presentation I now have software that will handle PDF and we'll handle the slides to PowerPoint and will convert them to a Word document I just in a b find reader and I just sent tell it to say that document and a Word document that sounds like but then I just take the word document most everything is there and bands like the page change commands are already there when I do my transcription I also have the codes open in Tewksbury I don't just look at the plane text paid working at what codes are on the page sometimes they getting away and you can't in a Range material on the page so I have to see what's happening to it what is the software telling it to do a be fine usually doesn't come in with NFL as a matter of fact whenever I can make my text and put it into Duxbury everything is underlined so I have to open up codes copy that underline command F6 which is a search and replace commands in Duxbury in and actually what we're going to do any kind of show you all these things she's talking about okay okay this is already a translated document I'm going to go in here and I'm going to open up the coos and we can find it she was lying at those toes okay are you going to do it you see all these little boxes all over the page now this one has a lot of things in this particular file was something that the Paragon 2 listen to RiverBend prison thing about transcribers group there and they had taken this document and all they did was put it in Duxbury cheap but they left a lot of other things in here and take them all out and when I transferred it to Braille I did not take the time to clean up the background because they were in the way you see this line that says attribution there's no attribution in there there's a space in it now if you look at the next Batman work Sprint that was high that you just have to put the cursor next to that where you're heading is and that whole line will end up in Centric heading sometimes a gram and page numbers are in there and kept them and take them out what one thing I use a lot I say I use the F-18 there's a lot of drop-downs in this and I can't keep my head what happens sometimes before you take that back sometimes with the it was she showing me the code you will Papa document ended us. And then it'll translate things that are so kind of like it gibberish and that's because of the codes in there that's kind of what we're looking at here this last one we don't have to tell the lines to be less wash but that's again the group that had this before they had to put that command in there because they are there software to know where to put so it had to be told to put it on the left so we don't need that here but again that's see that's what happens when you do things that you have all these extra commands and sometimes they get sometimes you just go right past but remember I am going to reverse translate this or I'm going to turn off my car which is it solved now see if you look at this this is the Poetry that was here those are the lines each of the numbers on the lines of poetry in this particular piece I'm having trouble getting there my page did this whole section right here in poetry will you put on a couple line so that for those who are less familiar with Duxbury can see how that's working the yellow line will show you Tramp how it is okay now this is a question what we're looking at is kind of like a reading exercise and so this particular one minute in a minute by the question and so this line here that I have a cursor right on this number five I'm going to make this question number 5 it starts the first line is left for she starts their launch the Run overs and question starting self buy that's right there where I put the cursor and this is standard question format your CDs and the and in exercises we have transcribers in Tennessee we follow that format now the answers she does ABC here and they start in cell 3 The Run overs would be these just happen to be just a couple of words so they fit that way and it's not open this out at 3 to get there quickly oh no I'm done wallpaper it wants to say that I'm sorry I'll text her 8 then we go and then you see the 15 in order to get the smart that way is that what I would have to do to go back to my own but I would have to do I got this to work I'm going to take that coat off by backspace do you see the line jump you see this the run over line moved back to sell one in order to get this back when I would have to do is a high like this I wanted to be in the 154 go to my fat it's not working let me try. OK Google you see this is fatfat with your guy tell you later is all of the applied styles that you can use the shortcuts in Duxbury now this particular want this is a question so I would want it in a 15 format I tell it ok and then see it moves that that line back to these right here are written in 35 and so they're all marked up earlier but I don't have to keep answer key and the Tab Key to put the this is super helpful because and it may be faster for you to do that but sometimes something happens and all of a sudden they just. And then so to save this keep it you would pray control Sr the shortcut keys and it was save that talk minutes at Duxbury document to wherever you told us to save it. Mine went back to it should have gone back to the the resource center Boulder oh yes you cannot use Duxbury spell check once you're into into you translated it you can only use the spell check when it is still a text document so after you you got your tax documents into Duxbury and you cleaned it up a little bit but once I get to the bottom of it go back to the top I'm going to back translate this and I'm going to get to the top of the stock and then okay now that I'm here at the top I use one of these pull down menus edit and go down here and says spell check and you can use the shortcut with his shift at 11 so it click it and now it has found something here it has an unknown word it says which is spelled correctly it's just that I haven't run spell check with using this one is so I added to my dictionary I tell it ok and it finds another word now frequently names are not already in the dictionary you use your spell checker and keep adding more more than two terms that you use for instance I do a lot of science transcription and so once I got a lot of times worse in there they're not to jump every time I try to use the spell checker but once you run it a few times and see that this kid the words he might be in there but because it has an apostrophe s on it changed it so it may not be in my dictionary I can skip it if I want to see it said if you don't want to do this you can ignore at one time or you can ignore all of them and then it won't be able to pick those up anymore but then all you have to do is say okay and I'll go on to the next word and again the word bodies probably in there but it's not it's not as apostrophe  with just changed it again and I find this particular thing that we were doing a lot of words have the apostrophe s so I already had it originally but I usually tell them no more though just go on and it shouldn't pick up that one but now see it again here's another word with an apostrophe-s but that's how that and is there another drop down items that in you review you can you can do the six key entry now when you're in Braille and let me translate this back to back to Brown okay so if I want to add something at the end just for all the newbies out there Becky what is the shortcut for translating to brill it's control tea control press the chief or you can go over here to file and see here it is it's in that drop down menu and it says translate so if I were to press it it would it always asks because my okay so now I'm back to the print or I go back to file again and I can translate it again and this time we'll go to Braille I don't know how many times will be I usually use the control key I use a lot of the same keystrokes that are already in word and and just because I know them from that and for me it's quicker than going to drop down menu personal preference okay so if I'm going to ask something on here and I just signed it now this if if I have this was under review and I have 60 and 3 now I can write using the app BS and the jkl keys and they work like the six keys on the the Braille writer so there's a b c d I can do this with these only start getting for complex so there's a 10-digit that and I'm not always accurate I can always get my fingers to Ford Nate finger doesn't quite go down with the rest of the I can always do it on the keyboard so I used AC called ASCII code so I'm going to go back in here and turn off the 6 p.m. again I can the letters of the alphabet are those letters of a is a and here's a GF that's simple but then there are other symbols for instance if I wanted a? it's it's the number eight on the keyboard each of the letters in each of the numbers is also punctuation so number one is a, two is a 23 a drop B read is a colon Forza. Fives and Iain sign into each one of these are you see our law and what's the bracket in square bracket key and also if you press shift bracket is doing ER but if we should do a shift with the numbers like shift one is the the time to is a dog for also the field a p over here is a. Org the hashtag on three is the number sign the dollar sign I'm sure is a TV sign in when I was first doing this when I'm using Mega. So I came up with the ASCII code my shift with him and I had a sheet that you can find them another places I have this this sheet here I pulled out the back of a trans driver's manual to learn to be a Viber yes no we also have that as message and you can just Google it and ask for a braille asking chart the pedia had a nice variety of them so if you look around there we had some other sources for them to know how many races going on in Fernley okay okay what's the next thing on earth I'm a dinosaur using this location to do all right there is a chart of here in the right of your screen in the link to that is that was for Alex blowing the other thing I'd made a note about index Terry using to start Graphics like say you're making a document up like a math worksheet and there are there a lot of shapes like a triangular something like that in order to place an equation or maybe you have a very place next to the side of a triangle so that I can go ahead and put that into Douglas Perry and embossing without having to go back and add in that. like 36 make a line to estimate kind of designs my triangle and then I can add my my tackle pain after having Ball but that way I can place everything and not have to go back and that kind of saved me an extra so I kind of use line to start some of my Graphics just so I can replace the math around the shapes as I need to and then I don't know. code. That's what that's a whole nother thing in Jets. You can put back into that's Perry and translated I have never in all of these years have the best of luck just translating nematode in Duxbury so what I do is I put all of the text into dust and translate it and then I go back and add an event at 6 p.m. tree because it's just how I'm the other people might it might work better to do different a different way so I'm just sharing that slip is for me I was showing you I was in the edit layout in that you go down to it and there is Beth Co and then even I even use the math towards when I'm in textrail because lately I've been transcribing for a church so this is a simple layout I go down to Matt and then I go over superscript and I put that coat in there and then I have to pick up the number and put it between it had it has a l d s & N E S I think the second part of it in the space between us I have to put the 12 until I do this while still in print and I can invite him and everything goes off we don't need all those extra. but they're all passed in there and there's anything in the superscript they're together and there's other things in that list in that drop down thing so I end up going back and forth and back and forth with them in the document when I'm doing absolutely no sleep to something I brought in from somebody else that is so good to be able to look at those making my Braille appear I got to be the other day when I was working with it I couldn't I couldn't just highlighted combat do I turn down the coast while there was a footnote and it was popping up at the bottom of my face is very oh oh yes are real readers Nick Sharpe brought this chip in for us he in his he avoid the screen reader and she cannot see when we open up Duxbury there was a yellow line at the bottom and then there was a white line below that the yellow line shows you if you're in in the Braille and it'll show you what that that line says wherever he is with the print then the other line for the salad is in and number and male page number line number yet okay so that's easy for us and print we just look at it well Nick can't see that line read that line to him so he said if you could do all then press the number use it will tell you where your cursor is at that moment in your text saying the cell number the page number and the line number all right so ever transcribing materials for our students or for school system were thinking about different things such as like how we're going to set up to and who are now Becky doesn't besides district schools you do things for organization while here at testing the other material questioned by teachers or it's it's textbooks so it's more things that you know we're going to do our student the student that we are making these thanks for and then the purpose of the material and what is it exactly that you're having to put into Braille all right so some of our work strategies I know Becky talk a little bit about using uscreen yes I have a all-in-one computer on my desktop at home and it is it has a coupon on the left side of the screen I'll be fine on my word document on the right so I have both of them on the same screen before we had the capability of doing that I used to use two computers green over there so I could see the print page and in truck but you can't copy from one to the other that's the thing because they're not linked in that way so having both of them on the same screen allows you to be a PDF and I use actually use it I brought it because I love this thing it's just it's just a little portable monitor it's a self-portrait style and I'll sit it next to my laptop and connected together and then I can do my Braille on here so I really like having that school and then when you have a chance I want a little bit but this disc golf right here the Quick Tag is free you can download it to do some quick and then math type is an equation editor that I believe is added to word that does cost so that you're counting a main parts of your brain so we're thinking about our students in the room we're making like cereal for me I think about like maybe how much Vision do they have is it help when I'm making Graphics color that kind of thing are they a beginner every umbrella have a master the code already and so can we like maybe sometimes a little bit and do our own thing but there's a cop got to that which yes when you develop your own shorthand system it's great to get things that they don't pay but you have to consider that the students must know the proper format for that and because it's going to show up on a test and so that's why I was questions are written is written in and also we could spaces between the question again so the student can find things quickly and easily expected to set up a website they have an eighth of May I know that they have a database of information in formatting and then tsbvi I'll ask I have linked that page that has a height of a standard for topographic also Banias website which. but those are just some things you wouldn't think about when you're making materials what's the purpose of our materials that you have to decide is this something that you was going to use 45 minutes. So can we do that a different way making it and I have practice there is a practice or like extra words that she's maybe as you called it busy yet so that might not be necessary always yes the formats and complexity and these are just some things to like kind of think about before you start transcribing to figure out how you're going to proceed with that like what is how is the is the format accessible already you know what the quality of the print copy those are some at the babies and then I'm sorry I wanted to share this I how to get my teachers something like this at the beginning of the semester just lets them know how much time I need to get materials in advance I kind of give myself a day all right maybe two days extra usually things under two days I can complete the same day I'm given is given to me but if you give them that only way that will happen all the time so here's kind of a rubric for when I need materials and hear the types of materials and I can share this as an adult as a simple document if you guys are interested and then you could fill it in how you need what works for you so I definitely recommend 10 days for unit test for district assessments the sometimes are 70 questions and their science and I just to make all of those graphics and inform at all I believe that for Messenger giving is not as it's like a picture and you just cannot manipulate it very easily some strategies for prepping for transcription this is a set of matte beater side of math worksheet I was given a couple years ago and what I do is just have a lot of text so I'm go ahead and put that text ended up Sperry and then I'll go back and add my Nemesis so in order to do that a highlight then I met throughout I go through and do all of that first so I don't miss it when I'm going back through the document the map in the picture format as we have this lovely a document here we're going to receive things like this a lot of the times that are very noisy and difficult to end so that's what kind of always an easily so that you can convert it to another type of document to put into that fairy have to end up doing a few tweaks to it and we're going to go into that these are the three types of formats it a digital copy a paper copy or copy like you see on screen but you said that that's about right back and then this is this is just to kind of tell you like how you can access these things a Word document open right into that story just pull it in if you're given a Google doc you can download it as a Word document and then open it up in Duxbury a PDF a lot of times if they're accessible where you can highlight in the PDF copy it over into death. that's what I do you can convert using a dehydrator tonight because you don't just buy it anymore it is now Subscription Service it may not be the same however I happen to be doing something just happen to open up Google Docs and it had a PDF converter and it worked as you could open a Word document with this and convert it or you could open a pediatric what to wear and it's free so you might check around but the things that are Google become so that's where this last email formatting it when you open it as a Google that are like when you do this in Google Docs an example of that I'll show you just a minute so for paper copies are pretty straightforward there two methods here you can either and them with a copy machine or use your cell phone to scan it I don't know if how many of you use this before but if you in your notes app on your cell phone if you have an iPhone the notes app if you hit the camera button while you're in the notes app it'll give you the option to scan and so you can scan a document and send it and it comes to PDF and it's accessible he throw it in. a Word document in for Duxbury but again if you also have an iPhone you can take a picture of your text copy and paste a text message photo and then put it into notes app put it into word and then send it to yourself through email and new vanity. reformat it well to print you still format in India translate do the other thing is I always seem to always be able to find these worksheets online so you just like type in a bunch of the key words that can find it copy of the paper I was going to say something about you know you taking a photograph of it sometimes Duxbury gets a little confused and in some strange things about the ER doesn't always read it well from the camera, just jump in there or something iPhones apparently now I can do OCR directly from the camera version you might be running or whatever you're you know you getting pointers and probably a big picture is a lot of this is essentially making the most of OCR which is optical character recognition taking a picture and software to scan it to text to text and Becca distracted and then obviously dumped in print / Tech that can then be used by a program like Duxbury and I'm kind of like you guys were taught about to go see are quite good these days however depending on the source material there can still be some goofiness to what it kind of decides it hasn't felt check is an important step for unpick yes yes in my students actually will use their cameras on their iPads to read things off the board to hold it up with a camera open and the voiceover on it will read the text tell you it'll tell you what position Furniture is in the room it's it's pretty it's pretty incredible I'm not tried using it like it just straight from I haven't tried using it I only need the photos and copy the text I need to try yes for the camera open to see how that would work so it's awesome to have to look at that but this is just my student actually did this herself she this is the work she don't write that she was given and it was a last-minute worksheet and so she had leaned it up against something and taking a photograph of it and she copied the text because she wanted to be will answer questions so she uses a real note and she wanted to be able to fill in the answers to her questions on the ground note is it that is why she made the copy instead of just like listening to it so what she did is she copy the text from the photograph pasted it into her notes out and she shared it to herself an email to this is a snapshot of her email and she was going to just type it here at the answer questions and email it to the teacher directly but what happened did you see like at number one it doesn't start out with number one it starts out with letter D so it's great for just blocks of text that sometimes when you're trying to questions like this is it gets a little mixed up so that can assist you into trying to accommodate so I can be tricky but for us like we could go to yes messages as but this was a perfect example of what can happen when you use that feature do you have to make sure to go in and proofread text in the morning okay so this is the thought process for strategy one thing you can do if you need if you don't have a all else fails you can either read into your notes app verbally the document if there's just nothing else you can do with it or Terry type in force and then here's some more strategies for your formatting we have some examples of these later yes if you don't have access to area that are available to use but you also can get in a box of Grupo de so which is it isn't green I'm going to lose my computer here I will let these are just some ideas for creating such a that's my type of graphic Supply on the right there so I'm sure every I have their own set of things that use these are just some ideas and then there's a topographic image library at a pH that is excellent this is a good video to watch inkscape is it a program where you can make quick graphics and then you just want to say yes Graphics in the in the lot of ways and one of things are really great is there very simple they don't have a lot of clutter and it and if you have a PDF that software you know he can run it off on a fix plaster which is the emotion in Japanese BH photo all right and then these are some examples you guys can if you want to look through these and this is how I would do a slide slice first unit and if I'm not following the transcription exactly I just run the slides down the page and so this is one of those, I'll take option example of graphics and how I lay them out on the page we've added some tips in here in different graphics examples you can make textured paper with your brown boxer another texture used yes the gridlines. This is the way we traded this graphic is by using grid paper and you cut figure it out and then use the type of slate to make the.
